1. Purpose
We buy trading cards, retro games, consoles and other items from the public. We aim to give a fair price quickly. We also have a duty to avoid buying stolen goods and to keep proper records. This policy sets out how we do both.
2. Scope
It covers every purchase or trade-in made at the shop, whether paid in cash, bank transfer or store credit. Records and stolen goods checks are in POL-10. Cash limits are in POL-11.
3. How we price
Staff price items from current UK market prices, checked against recent UK sales and trusted UK price sources. We then adjust for condition, completeness and demand. Items that sell quickly earn a better offer than items we may hold for a long time.
We give one fair offer and explain how we reached it if you ask. If you think it is too low, you are welcome to decline and sell elsewhere.
Offers are valid on the day only. Market prices move, and condition must be checked again if an item is brought back.
4. Cash or store credit
We can pay in cash, by bank transfer where the cash limit applies, or in store credit. Where we offer store credit, the amount is higher than the cash offer. You choose. Store credit is recorded on your GG Vault account.
5. ID and who can sell
Staff scan or photograph your ID and record it in GG Vault. If we already hold your ID on file, we still check that you are the person on it.
Acceptable photo ID
- Current UK or foreign passport.
- UK photocard driving licence.
- A PASS-accredited proof of age card or national identity card with photo, where we are satisfied it is genuine.
We may ask for proof of address in addition. If you cannot show acceptable photo ID, we do not buy. You may return with it.
Age
We buy from adults aged 18 and over. Someone under 18 may only sell or trade if a parent or guardian is present, shows their own photo ID and agrees to the sale. See the Under-18s and Parental Consent Policy (POL-04).
6. Ownership questions
Staff ask simple questions: where did you get it, how long have you had it, is it yours to sell. Consoles are checked for serial numbers. Large collections or unusual items get more questions. These are routine and not an accusation.
7. What we check and what we refuse
- Counterfeit or reprinted cards, fake games and modified or tampered items are checked for and refused.
- Graded slabs are checked: the label, serial number and case for signs of tampering or fakes. If unsure we may decline, or pay a lower raw-value price.
- Consoles are tested where possible and serial numbers recorded.
- We can refuse any item without giving a reason, and may refuse to deal with anyone.
If staff are worried that an item is stolen, they follow POL-10 and do not confront the seller.
8. Roles and responsibilities
- The Managing Director, Richard Allison, sets the pricing approach and handles disputes.
- The person in charge of the shift decides borderline cases and any high-value buy.
- All staff must follow the ID rule every time, with no exceptions for regulars.
9. Breaches
Paying cash without recorded photo ID is a serious breach. It may lead to disciplinary action under the Staff Handbook (POL-29).
11. Legal framework
Handling stolen goods is an offence under the Theft Act 1968. ID and seller records are personal data and are held in line with UK GDPR and the Data Protection Act 2018. We keep ID photos for 2 years after your last trade-in, unless needed for a police enquiry, and transaction records for 6 years. Payments are subject to the Money Laundering, Terrorist Financing and Transfer of Funds (Information on the Payer) Regulations 2017, as set out in POL-11.
