1. Purpose
Some sealed trading card and game products sell out fast and end up at inflated prices. A member drop lets GG Guild members buy a limited allocation at the recommended retail price (RRP). This policy explains how drops are run so that they are fair and so that staff handle them consistently.
2. Scope
It covers every member drop run by GG Entertainment Group Ltd, in store or through GG Vault. Membership terms are in POL-07 Membership Terms and Conditions.
3. How a drop works
- We announce each drop to members in store and through GG Vault. The announcement says what the product is, the price (RRP), how many are available, the method of allocation and the collection window.
- Allocations are limited. Stock is not guaranteed for every member.
- One per member per drop, unless the announcement says otherwise.
- Every allocation is tied to the member's own GG Vault account. Staff record it in GG Vault and take payment on the Epos Now till.
4. How we allocate fairly
For each drop we choose one of two methods and say which in the announcement.
| Method | How it works | Used when |
|---|---|---|
| First come | Members are served in the order they ask, after the stated release time, until stock runs out. | Supply is small and the drop is in store. |
| Draw | Members enter within a stated period. Winners are drawn at random and told through GG Vault or in store. | Demand is likely to far exceed supply. |
Once a method is announced, we do not change it for that drop. Staff must not hold back stock for friends, family or favoured customers.
5. Collection and release
Winning members must collect within the collection window in the announcement, normally 7 days. Bring photo ID when you collect. Staff may ask for it if they cannot match you to your account. If an allocation is not collected in time, we release it. It may be offered to the next member on a reserve list or put on general sale.
6. Rules for members
- No reselling for profit within 90 days of buying a drop item. Selling sealed drop product on at above what you paid, in person or online, is not allowed in that period.
- No buying on behalf of other people. The item is for you.
- No using another member's account, or more than one account, to get extra allocations.
- We may ask you to show proof the item is still in your possession if we have good reason to think it has been resold.
Breaking these rules may lead to loss of access to future drops, and in serious or repeated cases to suspension or ending of membership under POL-07.
7. Staff and their households
Staff and people who live in the same household as staff may take part in drops, but join the same draw or queue as everyone else and get no priority and no advance access. Staff must not use their position to see stock early, set stock aside or influence the draw. A staff member must not run a draw in which they or their household are entered unless the Managing Director or another manager oversees it.
8. Roles and responsibilities
- The Managing Director, Richard Allison, decides the size, method and timing of each drop.
- The person in charge of the shift makes sure the announced method is followed.
- All staff record allocations accurately in GG Vault and apply the rules equally.
9. Breaches
Staff who break this policy may face action under the disciplinary procedure in the Staff Handbook (POL-29). Members who break it are dealt with as set out above.
11. Legal framework
Drops are sales under the Consumer Rights Act 2015. We handle personal data in line with UK GDPR and the Data Protection Act 2018.
